The information on data protection applies exclusively to the Internet offering of Geis Holding GmbH + Co KG Germany (hereinafter referred to as "Geis Group") at https://www.geis-group.com/de/ and all associated companies/subsidiaries.

We see data protection as a customer-oriented quality feature. The protection of your personal data and the safeguarding of your personal rights are important to us. We process and use personal data collected during visits to our website in accordance with the current statutory provisions on the protection of personal data. Our website may contain links to websites of other providers to which this data protection declaration does not extend.

Legal bases of data processing - principles

In principle, any processing of personal data is only permitted if the data processing falls under one of the following justifications:

  • Art. 6 para. 1 sent. 1 lit. a GDPR: When the data subject indicates voluntarily, in an informed manner and unambiguously, by means of a statement or other unambiguous affirmative act, that he or she consents to the processing of personal data concerning him or her for one or more specific purposes;
  • Art. 6 para. 1 sent. 1 lit. b GDPR: If the processing is necessary for the performance of a contract to which the data subject is party, or for the performance of pre-contractual measures taken at the request of the data subject;
  • Art. 6 para. 1 sent. 1 lit. c GDPR: If the processing is necessary for compliance with a legal obligation to which the controller is subject (e.g. a legal obligation to keep records);
  • Art. 6 para. 1 sent. 1 lit. d GDPR: When processing is necessary to protect the vital interests of the data subject or another natural person;
  • Art. 6 para. 1 sent. 1 lit. e GDPR: If the processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller; or
  • Art. 6 para. 1 sent. 1 lit. f GDPR: If the processing is necessary to protect legitimate (in particular legal or economic) interests of the controller or a third party, unless the conflicting interests or rights of the data subject override (in particular with minors). 

For the processing operations carried out by us, we indicate below the applicable legal basis in each case. Processing may also be based on several legal bases.

Data erasure and storage time

For the processing operations carried out by us, we indicate below in each case how long the data will be stored by us and when it will be deleted or blocked. Unless an explicit storage period is specified below, your personal data will be deleted or blocked as soon as the purpose or legal basis for the storage no longer applies. In principle, your data will only be stored on our servers in Germany, subject to any forwarding that may take place in accordance with the regulations in this data protection declaration.

Storage may take place beyond the specified time in the event of a (threatened) legal dispute with you or other legal proceedings, or if storage is provided for by legal regulations to which we are subject as the responsible party (including Section 257 German Commercial Code, Section 147 German Tax Code). If the storage period prescribed by legal regulations expires, the personal data will be blocked or deleted unless further storage by us is necessary and there is a legal basis for this.

Information on the scope of processing

When you visit our website (e.g. for informational use), a so-called log data record (so-called server log files) is stored temporarily and anonymously on our web server. By default, our web servers store technical access data such as the IP address of your Internet service provider, the host name of the accessing system, information about the web browser and operating system used, the website from which you visit us, the web pages you visit on our site, and the date and time of the visit. We use this technical access information solely to improve the usability of our website and, if necessary, to quickly identify technical problems on our website. The use of your IP address is also technically imperative in order to be able to display our website to you. Otherwise, you can use our entire Internet offer without having to provide personal data. The processing of the log data thus serves statistical purposes and the improvement of the quality of our website, in particular the stability and security of the connection (legal basis Art. 6 para. 1 sent. 1 lit. f GDPR).

In accordance with the principle of data avoidance and data economy, we only collect, store and use personal data if it is necessary for the purpose you have requested or if you have provided it yourself. As a matter of principle, we process personal data in accordance with the provisions of the GDPR, the other relevant data protection regulations and only to the extent necessary. Insofar as the processing of personal data is based on Art. 6 para. 1 sent. 1 lit. f GDPR, the aforementioned purposes also represent our legitimate interests.

We use your personal data, which you have made available to us in the context of contact forms or via mails, for the purpose of processing your order, answering your enquiry, providing you with access to special information and offers or providing you with special services (sending our newsletter, etc.). The processing of contact form data is therefore carried out for the processing of customer enquiries (legal basis Art. 6 para. 1 sent. 1 lit. b or lit. f GDPR).

Data forwarding

Without your express consent, we will only transfer the personal data you provide to subsidiaries and business partners involved in the execution of our order to the extent necessary for us to do so, but we will not pass it on to other third parties who are not involved in this respect and, in particular, we will not sell it to commercial users for advertising purposes. Insofar as personal data from you is passed on by us to our subsidiaries or is passed on to us by our subsidiaries, this is done on the basis of existing order processing relationships.

Use of cookies

We use cookies to provide you with the best-possible website experience. Cookies are not viruses and therefore pose no danger to your computer. Cookies are small files that are sent by us to the browser of your end device during your visit to our website and stored there. These include cookies that are necessary for the technical operation of our website, as well as those that help us improve our platform and provide additional features.

A basic distinction is made between session cookies, which are deleted as soon as you close your browser, and permanent cookies, which are stored beyond the individual session. In terms of their function, cookies are again distinguished between:

Any use of cookies that is not absolutely technically necessary constitutes data processing that is only permitted with your explicit and active consent pursuant to Art. 6 para. 1 p. 1 lit. a GDPR. This applies in particular to the use of advertising, targeting or sharing cookies. We will only share your personal data processed by cookies with third parties if you have given your express consent to do so in accordance with Art. 6 para. 1 sent. 1 lit. a GDPR.

Use of CCM19

We use the cookie consent technology of CCM19 - Cookie Consent Management on our website. Using it, we obtain your consent to the storage of certain cookies in your browser and document it in a data protection-compliant manner. The provider of this technology is CCM19 - Cookie Consent Management, Papoo Software & Media GmbH, Auguststr. 4, 53229 Bonn (hereinafter CCM19).

Data collection and analysis in the applicant management system

Nature and scope of the data processing

We use HRpuls software for data collection and analysis in applicant management. HRpuls is a software for applicant management, for capturing applicant data and managing applications, as well as for communicating with applicants.

For these purposes, we collect and process the following data from you:

  • Name, contact details (address, e-mail and phone number);
  • Cover letter;
  • Curriculum vitae (professional and personal qualifications, professional career);
  • Testimonials;
  • If applicable, other voluntary information within the application you submit: e.g. photo, marital status, date and place of birth, nationality.

Legal basis for the data processing

The processing of your data in the context of the application process is carried out for the purpose of the decision on the establishment of an employment relationship and thus pursuant to Art. 88 (1) GDPR in conjunction with Section 26 (1) sent. 1 of the German Federal Data Protection Act (BDSG).

We process your data exclusively on the basis of your voluntarily given consent pursuant to Art. 6 (1) a GDPR for the following purposes:

  • for internal forwarding within the Geis Group if you appear suitable for another position within the Geis Group;
  • for inclusion in the applicant pool if the application documents could be suitable for future vacancies.

You can revoke your consent at any time without giving reasons and with effect for the future by sending an e-mail to info.karriere@geis-group.de.

 

Storage duration

We store your data, which we process for the purpose of applicant management, for six months (Section 15 (4) General Equal Treatment Act (AGG), Section 61b Labour Court Law (ArbGG)) after rejection or termination of the vacancy, unless the data is transferred to the personnel file in the event of success (establishment of an employment relationship).

Your application will only be forwarded internally for another position within the Geis Group or stored with your prior and express consent. Your data will be stored in the applicant pool until you revoke your consent, but for no longer than 5 years.

As soon as the processing purposes cease to apply and there are no longer any legal storage periods, we delete your data in accordance with data protection law.

Automatic decision-making

The data controller does not engage in automatic decision-making, including profiling.

Involvement of order processors

When processing your personal data, the HRpuls tool of HRpuls GmbH is used. To this end, we have concluded an order processing agreement with HRpuls GmbH pursuant to Art. 28 GDPR.

Tracking and analysis tools

We use tracking and analysis tools to ensure the ongoing optimisation and needs-based design of our website. With the help of tracking measures, it is also possible for us to statistically record the use of our website by visitors and to further develop our online offering for you with the help of the knowledge gained as a result. The use is based on Art. 6 para. 1 lit. f. GDPR. The following description of the tracking and analysis tools also indicates the respective processing purposes and the processed data.

Google Analytics

To ensure the best possible protection of your personal data, Google Analytics has been extended on this website by the code "anonymizeIp". This code causes the last 8 bits of the IP addresses to be deleted and your IP address is thus recorded anonymously (so-called IP masking). Your IP address will be shortened by Google before transmission within member states of the European Union or in other contracting states of the Agreement on the European Economic Area and thus anonymised. Only in exceptional cases is the full IP address transmitted to a Google server in the USA and shortened there.

Google AdWords

We use the technology "Google AdWords" and specifically conversion tracking. Google Conversion Tracking is an analytics service provided by Google Ireland Limited, Google Building Gordon House, 4 Barrow St, Dublin, D04 E5W5, Ireland. If you click on an advertisement placed by Google, a cookie for conversion tracking is stored on your PC. The cookies are valid for 30 days and are not used for personal identification. If you visit certain pages of our website when the cookie has not yet expired, we and Google can recognise that you have clicked on a certain advertisement and have been redirected to this page. Google AdWords clients each receive a different cookie. Thus, it is not possible to track cookies across AdWords customers' websites.

The data collected using the conversion cookie is used to create conversion statistics for AdWords customers who use conversion tracking. This tells clients the number of users who clicked on their advertisement and were then redirected to a page tagged with a conversion tracking tag. However, they do not receive any information that can be used to personally identify users.

If you do not wish to participate in conversion tracking, you can prevent this by choosing the appropriate setting in your browser, e.g. by generally preventing the installation of cookies. You can also disable cookies for conversion tracking by setting your browser to only block cookies from the web address "googleadservices.com". Alternatively, you can also disable cookies via the Ads Preferences Manager.

Google Remarketing

We use the technology "Google Remarketing" of Google Ireland Limited, Google Building Gordon House, 4 Barrow St, Dublin, D04 E5W5, Ireland. Google Remarketing is used to place advertisements for users who have already visited our websites and online services and are interested in a certain offer. As a result, targeted and interest-based advertisements can be placed on our site within the Google advertising network. Google Remarketing uses cookies for this analysis. This allows our visitors to be recognised as soon as they visit websites within Google's advertising network. Data processing is based on the principle of legitimate interest. Your data will only be used to improve the use of the website. Cookies provide us with information about website usage. These are stored in the Matomo Cloud for a maximum of 1500 days and summarised in user profiles with pseudonyms anonymised (IPMasking). Thus, assignment to individual users is impossible. The processing of the data is based on Art. 6 para. 1 sent. 1 lit. A GDPR. We are thus pursuing our legitimate interest in optimising our website for our external presentation. Social plug-ins on pages of the Geis Group

The Geis Group is represented on various social media platforms with selected Internet offerings. When integrating these offers into our websites, we partly use so-called social plug-ins. These establish a direct connection to the servers of the social networks via your browser and transmit data to the operators as soon as the page is loaded. In order to make the linking of external offers as easy and secure as possible, we have deactivated this plug-in function by default on the pages of the Geis Group with the associated companies (see above). Only when the user has activated the plug-in by clicking on it is a connection to the servers of the social media platform established. By clicking on it a second time, the user then has the opportunity to show their friends in their network that they like the Geis Group's offer with the associated companies (see above).

Facebook

Plug-ins of the social network Facebook (provider: Facebook Inc., 1 Hacker Way, Menlo Park, California 94025, USA) are integrated on our pages. You can recognise the Facebook plug-ins by the Facebook logo or the "Like" button on our site. You can find an overview of the Facebook plug-ins here.

When you visit our pages, a direct connection is established between your browser and the Facebook server via the plug-in. Facebook thereby receives the information that you have visited our site with your IP address. If you click the Facebook "Like" button while you are logged into your Facebook account, you can link the content of our pages to your Facebook profile. This allows Facebook to associate your visit to our pages with your user account.

When you access a Facebook page, the IP address assigned to your terminal device is transmitted to Facebook. According to Facebook, this IP address is anonymised (for "German" IP addresses) and deleted after 90 days. Facebook also stores information about the terminal devices of its users (e.g. as part of the "registration notification" function); this may enable Facebook to assign IP addresses to individual users. If you are currently logged into Facebook as a user, a cookie with your Facebook ID is stored on your terminal device. This enables Facebook to track that you have visited this page and how you have used it. This also applies to all other Facebook pages. Facebook buttons embedded in web pages enable Facebook to record your visits to these web pages and to assign them to your Facebook profile. Based on this data, content or advertising can be offered that is tailored to you. If you want to avoid this, you should log out of Facebook or disable the "stay logged in" feature, delete the cookies that are on your device, and exit and restart your browser. We collect and process the following data via the Geis Facebook page:

  • Page views
  • "Like" votes
  • Reach of the contributions
  • Recommendations
  • Post interactions
  • Page subscribers for the purpose of statistical surveys of the contributions and subscribers with the aim of optimising the offer provided by us on the site in a target group-specific manner.

If you do not want Facebook to be able to assign your visit to our pages to your Facebook user account, please log out of your Facebook user account. However, you will then no longer be able to interact with the posts.

Instagram

We also use plug-ins of the social media network Instagram (Instagram LLC, 1601 Willow Rd, Menlo Park CA 94025, USA) on our website.

With the functions for embedding Instagram content (Embed function), we can display images and videos. By calling up pages that use such functions, data (IP address, browser data, date, time, cookies) is transmitted to Instagram, stored and evaluated. If you have an Instagram account and are logged in, this data will be associated with your personal account and the data stored in it.

We collect and process data on our posts and occasionally also on subscribers via the Geis Instagram page for statistical purposes and with the aim of optimising our offer for specific target groups. The data we receive from Instagram for this purpose depends, among other things, on the user's privacy settings. LinkedIn

We use on our website functions of the social media network LinkedIn (LinkedIn Corporation, 2029 Stierlin Court, Mountain View, CA 94043, USA).

By calling up LinkedIn pages, data (IP address, browser data, date and time, cookies) are transmitted to LinkedIn, stored there and evaluated. If you have a LinkedIn account and are logged in, this data will be associated with your personal account and the data stored in it.

We collect and process data on our posts and occasionally also on subscribers via the Geis LinkedIn page for statistical purposes and with the aim of optimising our offer for specific target groups. The data we receive from LinkedIn for this purpose depends, among other things, on the user's privacy settings.

XING and kununu

This website uses the "XING Share button", which is linked to our Xing company page. When you access this website, a connection is briefly established via your browser to the servers of XING SE ("XING"), with which the "XING Share Button" functions (in particular the calculation/display of the counter value) are provided. XING does not store any personal data about you when you visit this website. In particular, XING does not store IP addresses. There is also no evaluation of your usage behaviour via the use of cookies in connection with the "XING Share Button". YouTube

Our website uses plug-ins from the Google-run site YouTube. The operator of the pages is YouTube, LLC, 901 Cherry Ave, San Bruno, CA 94066, USA. When you visit one of our pages with a YouTube plug-in, a connection to the YouTube servers is established. This tells the YouTube server which of our pages you have visited.

If you are logged into your YouTube account, you enable YouTube to assign your surfing behaviour directly to your personal profile. You can prevent this by logging out of your YouTube account.

Newsletter

In addition to the possibility of purely informative use of our website, we offer subscription to our newsletter, with which we inform you about current developments concerning our company. If you register for our newsletter, the following "newsletter data" will be collected, stored and processed by us:

  • the page from which the page was requested (so-called referrer URL)
  • the date and time of the call
  • the description of the type of the web browser used
  • the IP address of the requesting computer, which is shortened in such a way that a personal reference can no longer be established
  • the e-mail address
  • the date and time of registration and confirmation

Please note that we evaluate your user behaviour when sending the newsletter. For this evaluation, the sent e-mails contain so-called web beacons or tracking pixels, which are single-pixel image files stored on our website. For the evaluations, we link the aforementioned data and the web beacons with your e-mail address and an individual ID. Links contained in the newsletter also contain this ID. The data is collected exclusively pseudonymously, i.e. the IDs are not linked with your other personal data, a direct personal reference is excluded.

If you have given us separate consent to inform you by e-mail about our company's own products and services, your personal data will be processed accordingly on the basis of Art. 6 para. 1 sent. 1 lit. a GDPR. If we process your personal data on the basis of your consent, you can revoke your consent at any time without this affecting the lawfulness of the processing that has taken place to date. If consent is revoked, we will cease the corresponding data processing.

If you no longer wish to receive our newsletter in the future, you can unsubscribe at any time by clicking on the link provided at the end of each newsletter e-mail. Your data for the newsletter dispatch will be deleted within 3 months once you stop receiving the newsletter, provided that the deletion does not conflict with any statutory retention obligations.

Surveys

For customer survey purposes, online surveys are regularly conducted using the Lamapoll web service for creating and conducting surveys. All connections to and from Lamapoll's systems are encrypted using state-of-the-art technology. The servers on which the data is stored are hardened and protected by firewalls and virus scanners, for example. The tool is also regularly checked by means of security checks and penetration tests – for example, by the German Federal Office for Information Security.

As a customer of Lamapoll, we are entitled at any time to change, correct or delete the data stored, uploaded and collected by Lamapoll. The Geis Group remains the responsible party for any personal data within the meaning of the data protection laws.

When you access a survey, information is automatically collected in server log files:

  • time of access (date and time)
  • web browser
  • operating system
  • called-up survey
  • website from which you accessed the survey
  • IP address

With this data, no direct conclusions about your person are possible. The collection of this data is technically necessary for the correct delivery of surveys requested by you and is required for the operation, maintenance, protection and monitoring of the proper functioning of the system. In the event of misuse, these logs are used to create reproduction scenarios and evidence to be provided by Lamapoll if necessary. In the event of an error, these logs are used to enable the fastest possible system update.

When you respond to a survey, general statistical information is collected by Lamapoll:

  • Date
  • Start and end time
  • Duration of the response
  • Used web browser and operating system
  • Language in which the survey was answered

This is exclusively data that generally does not allow any conclusions to be drawn about your person. In anonymous surveys, this data is not linked in any way to your responses. In the case of non-anonymous surveys, the data is linked to your answers and made available to us for evaluation purposes. As a rule, we use anonymous surveys. For non-anonymous surveys, survey participants will be informed of this before the survey begins. By participating in the survey, you agree to the data storage and analysis of your anonymous or non-anonymous data. Non-participation does not lead to any disadvantage.

All collected data, especially your answers, are transmitted to Lamapoll via a secure SSL-encrypted connection and stored on the German servers. They are made available to Geis via the tool in graphical and tabular form. The data is stored with Lamapoll until Geis has evaluated the responses. If the purpose ceases to exist, the answers, the survey or the account at Lamapoll will be deleted. A link between your person and your answers is only possible if Geis explicitly chooses settings in the survey for this purpose. This is usually not the case.

Our surveys are hosted by Lamapoll. When you access these surveys, your IP address is transmitted to Lamapoll but is not associated with your responses. If multiple participation by IP address is to be prevented, the IP address is stored as a cryptographic hash together with the survey ID by Lamapoll and used for matching to exclude participants with the same IP address.

After conversion to a cryptographic hash, the IP address is no longer readable or decodable, nor is it associated with your responses. If the survey is terminated or deleted, your encrypted IP address will also be deleted from Lamapoll.

The surveys use cookies, which are needed to allow you to answer or pause and resume surveys, to prevent multiple participations if necessary, and to show you multilingual surveys in the correct language. They are stored in your browser until you delete them. You can disable the use of cookies at any time via your browser settings. However, please note that participation in Lamapoll surveys will no longer work if you have disabled the use of cookies.

Any use of your personal data will only be for the purposes stated and to the extent necessary to achieve these purposes. The data will not be passed on to third parties. Personal data is only transferred to state institutions and authorities within the framework of mandatory national legal provisions or if the transfer is necessary for legal or criminal prosecution in the event of attacks on Lamapoll's network infrastructure. There is no transmission for other purposes.

Data security and backup measures

We are committed to protecting your privacy and keeping your personal information confidential. The data transmitted by you is protected by us by suitable technical and organisational means, in order to protect it against accidental or deliberate manipulation, misuse loss, destruction or access by unauthorised persons. Our security measures are continuously monitored and improved in accordance with technological developments and organisational possibilities.

SSL encryption

This site uses SSL encryption for security reasons and to protect the transmission of confidential content, such as enquiries that you send to us as the site operator. You can recognise an encrypted connection by the fact that the address line of the browser changes from "http://" to "https://" and by the lock symbol in your browser line.

If SSL encryption is activated, the data you transmit to us cannot be read by third parties.

Information, modification and deletion of your data

You are generally entitled to the rights of access, information, correction, deletion, restriction, data portability and objection, according to Art. 12-21 GDPR. You can exercise your rights as a data subject regarding your processed personal data at any time by contacting our data protection officer (see below).

As the person concerned, you have the right:

  • to request information about your data processed by us pursuant to Art. 15 GDPR. In particular, you can request information about the processing purposes, the category of data, the categories of recipients to whom your data has been or will be disclosed, the planned storage period, the existence of a right to rectification, erasure, restriction of processing or objection, the existence of a right of complaint, the origin of your data if it has not been collected by us, as well as the existence of automated decision-making including profiling and, if applicable, meaningful information about its details;
  • pursuant to Art. 16 GDPR, to demand the correction of incorrect or the completion of your data stored by us without delay;
  • pursuant to Art. 17 GDPR, to request the deletion of your data stored by us, unless the processing is necessary for the exercise of the right to freedom of expression and information, for compliance with a legal obligation, for reasons of public interest or for the assertion, exercise or defence of legal claims;
  • to request the restriction of the processing of your data pursuant to Art. 18 GDPR, insofar as the accuracy of the data is disputed by you or the processing is unlawful;
  • pursuant to Art. 20 GDPR, to receive your data that you have provided to us in a structured, common and machine-readable format or to request the transfer to another controller ("data portability");
  • object to the processing pursuant to Art. 21 GDPR, provided that the processing is based on Art. 6 para.1 sent. 1 lit. e or lit. f GDPR. This is particularly the case if the processing is not necessary for the performance of a contract with you. Unless it is an objection to direct marketing, when you exercise such an objection, we ask you to explain why you do not want us to process your data in the way we have done. In the event of your justified objection, we will review the merits of the case and either discontinue or adjust the data processing or show you our compelling legitimate grounds on the basis of which we will continue the processing;
  • pursuant to Art. 7 para. 3 GDPR, to revoke your already given consent (also before the applicability of the GDPR, i.e. before 25.5.2018) - i.e. your voluntary will, made understandable in an informed manner and unambiguously by means of a declaration or other unambiguous confirming action, that you agree to the processing of the personal data in question for one or more specific purposes - at any time vis-à-vis us, if you have given such consent. This has the consequence that we may no longer continue the data processing based on this consent for the future.
